Position: Office Coordinator

** Must be available to start ASAP**

Pay: $21.40/ Hr & $25.04/ Hr *** BOE ***

Location: Dallas, TX 75247


Monday - Friday

8:00 AM - 5:00 PM

Job Summary:

Provides primary administrative and operational support to the Senior Director of Community Relations & Fundraising and Community Relations & Fundraising Department as a whole; coordinates, monitors, and evaluates the day-to-day operations; ensures the accomplishment of the various office tasks in the most efficient and effective manner possible; cross-trains and supports all office assignments concentrating on targeted deadlines and quality standards; prepares various routine and special reports to keep the department heads abreast of progress.

Administrative Support Responsibilities

Answers telephone in a courteous and tactful manner; greets and assists employees and people from outside the organization. Prepares, types, and processes documents, correspondence, forms, invoices, notices, bulletins, agendas, schedules, minutes, manuals, birthday cards etc.; ensures the accuracy, completeness, and timeliness of the same. Administers office records, reports, calendars, databases, logs, lists, etc. in an accurate, complete, and timely manner; updates, posts and indexes information and inputs data into the computer to maintain office records; researches office files to locate specific information found in documents, correspondence, lists, forms, etc. in order to prepare specific reports.

Meeting/Conference Planning Responsibilities

Coordinates arrangements for routine meetings; ensures that meeting rooms are properly set-up and cleaned before and after meetings; prepares food and drink as necessary.Performs various clerical and secretarial support work associated with special projects, seasonal events, and conference and committee meetings.Makes travel arrangements including flights and lodging accommodations for office personnel and/or conference attendees.

Other Responsibilities:

Orders office supplies to ensure the inventory is maintained at a level to meet the needs of the department; orders equipment and any other special items required for the office operations including supplies for the photocopy machine; reviews office supply catalogs for desired items and ensures items are ordered at an economical price when possible.


Education and Experience:

Bachelor s degree from an accredited college or university in business administration or related field,

and, five years with progressive responsibility/experience performing administrative work in a general office environment.

or any equivalent combination of education, training and experience which provides the required knowledge, skills, and abilities
