HR Coordinator

Prestigious Construction Company based in the City of London are looking for a HR Coordinator to join their HR team, this is a fantastic opportunity for you to gain experience HR and fast track your career.

Key accountabilities:

  • Responsible for raising employment offers accurately and promptly and with awareness of current practice within the company, raising and addressing inconsistencies if they arise.
  • Processing acceptance documentation; not limited to chasing documents, communication, tracking, data input
  • Maintain HR filing system ensuring we are compliant (GDPR)
  • Monitor and assist HR Advisors with HR Inductions.
  • Monitor employee's probationary periods, confirm successful completion to employees via letter
  • Process leavers, send out leaver notifications and update records.
  • Maintain HR Database: set up new accounts and ensure all manual/electronic records are kept up to date
  • Take responsibility for running mail merges when necessary
  • Liaise with internal recruitment function as appropriate, check and process recruitment invoices.
  • Ensure absence is correctly logged and fit notes or self-certificates are received, assist HRA with running reports as and when required and raising sickness trigger points.
  • Process reference requests such as mortgage, tenancy and Visa applications.
  • Monitor the work permit spreadsheet and highlight to the HRA when permits are due to expire.
  • Take minutes at formal meetings as required.
  • To undertake any other reasonable duties as requested by your line manager on a permanent/temporary basis.
  • Run ad hoc reports when requested by HR/business. Dashboards to be completed for business units.
  • Provide stats to proposals for tenders as and when needed.
  • To deputise for team members as required.

Coordinator responsibilities:

  • Oversee and manage payroll schedules, ensure consistency & escalate to line manager as and when needed
  • Monitor HRSS inbox and ensure level of service expectations (SLAs) are being met
  • Support HR Administrators on queries/processes as and when needed
  • Train new members to the team
  • Supporting line manager with additional tasks/project work when require
  • Co-ordinate and oversee HRSS trackers to ensure consistency and accuracy

Your experience would include,

Skills & experience

  • Knowledge and good understanding of working in an HR function (desirable)
  • Willing to learn, ability to absorb knowledge and use their initiative
  • Excellent organisational and time management skills
  • Capable of forward thinking/proactive working and driving improvements
  • Keen eye for attention to detail and accuracy in delivery a high-quality service
  • IT Systems oriented who can easily grasp understanding of the HR system (Ciphr)
  • Excellent writing skills when constructing letters, emails and correspondences
  • Able to work to deadlines with focus on results and quality of service
  • Focused on promoting best practice in line with Company Policy and Procedures.
  • Pleasant and confident telephone manner
  • Methodical and proactive approach to duties
  • Proficient knowledge of Word, Excel and Outlook
  • Ability to communicate clearly and effectively with staff at all levels
  • Ability to remain resilient, calm and measured particularly during busy periods and when dealing with conflicting priorities.
  • Ability to be self-starting and independent as well as self-motivated
  • Process driven who understands the sequence of actions necessary in execution
  • Approachable, positive, flexible, adaptable and friendly team member


  • Educated at least at A-level standard, Degree level (or equivalent) is desirable
  • CIPD desirable but not necessary
